What should a hotel bed brief state?
A brief that says only “king bed, upholstered, 200 rooms” produces quotations that cannot be compared. State at least the following, copied from the brand standard or the designer’s FF&E schedule.
- Bed size: the mattress size for each room type and market, written as the brand names it, with the frame’s inside dimensions if the standard sets them.
- Base type: whether the bed has a slatted base, a platform, a box base or a divan, and who supplies the mattress it must carry.
- Headboard relationship: whether the headboard is part of the bed, fixed to the wall or fixed to the frame, with the drawing that shows the fixing.
- Frame material and joints: timber, metal or board, and the joint and hardware method the designer requires.
- Covering and finish: the fabric or finish reference and approved sample, so a substitute cannot appear after approval.
- Floor clearance and cleaning access: the clearance under the bed the hotel needs for cleaning or luggage, if any, and whether the base closes to the floor.
- Knock-down or assembled: whether the bed ships flat for assembly in the room or arrives assembled, and how the room team will assemble it.
- Glides, castors and floor protection: the type of foot the floor finish requires.
- Spares: whether spare slats, brackets or covers are wanted, quoted separately.
Five sourcing routes for hotel bed frames and bases
1. Upholstered bed and divan makers
These makers focus on padded frames, divan bases and upholstered bed ends. Ask for the covering reference, the padding description and a drawing of how the covering is fixed, and request a finished sample bed or corner sample for the designer’s approval. Seam position, piping and base trim are where mock-up and bulk production most often differ, so agree them on the sample.
2. Timber bed frame factories
Solid timber and veneered frames are made by woodworking factories that also make other bedroom pieces. Ask which timber or board is used, how the joints are made and how the frame is knocked down, and request a sample joint. 3. Metal bed frame and platform base makers
Steel and metal bases suit projects that want a slim frame, a flat-pack carton or a base that is the same across room types. Ask for the tube or sheet description, the weld and fixing method, the finish and the way the base is packed, and request a sample base. Check how the metal base meets the mattress and the headboard, because that is where noise and movement complaints start.
4. Guestroom casegoods workshops
A guestroom package often includes the bed with the wardrobe, desk and bedside tables, all in one finish. A casegoods workshop can match the bed to the rest of the room and quote it with the package. Some suppliers quote the whole room, from beds to soft goods. This route gives one party to coordinate and one delivery, but ask the supplier to show capability for each product group and to quote the bed on its own line, so that a weak group cannot hide in a package price. How to compare hotel bed quotations
- What is included: frame, base, slats, brackets, feet and any headboard, in separate columns with the unit of measure stated.
- Size and model: the exact bed size and model quoted for each room type, not a family name.
- Base and mattress interface: how the base is designed to carry the mattress the hotel has chosen.
- Covering reference: the covering and finish quoted, with the approved sample referred to.
- Packing: flat or assembled, number of cartons per bed and how cartons are marked by room type.
- Exclusions and substitutions: any change of timber, board, metal or fabric the maker proposes.
Samples, approval and acceptance on delivery
Approve a finished sample bed, not a photograph, before bulk production. Have the hotel’s operations team look at the sample for cleaning access, the way the bed is assembled and how it sits with the mattress. Record the approval in writing and keep the sample as the reference for the bulk order.
On delivery, check a sample of cartons against the order: room type, size, covering, finish and the quantity of each part. Note any difference in writing on the day with photographs, so the maker can respond while the evidence is fresh.
What evidence to ask each route for
Evidence should be requested for the exact model, not for a product family. Ask for the following in writing and keep the answers with the quotation.
- Upholstered makers: covering reference, padding description and a finished sample or corner sample.
- Timber factories: timber or board description, a joint sample and the knock-down method.
- Metal base makers: tube or sheet description, fixing method, finish and a sample base.
- Casegoods workshops: shop drawings of the bed on its own line and a finish sample matched to the room.
