Project Background

A school construction company in Florida was managing the complete fit-out of a new elementary school campus. The scope covered four distinct categories of building materials: aluminium-framed windows and doors across multiple classroom blocks and common areas, prefabricated bathroom partition systems for washroom fit-outs, classroom storage cabinets and shelving units, and wall mirrors for restrooms and corridor spaces.

The client had previously sourced similar materials through U.S.-based distributors. While this approach was straightforward, it came with real limitations — long lead times tied to importer stock levels, limited customisation options for non-standard dimensions, and unit costs significantly higher than factory-direct pricing. For a school campus fit-out with multiple buildings and a firm completion date, these factors added cost and risk to the project programme.

Understanding Client Needs

Before approaching any manufacturer, our team held detailed technical calls with the project manager to document specifications for each product category. For the aluminium windows and doors, we reviewed frame profile dimensions, glass thickness specifications, hardware finish requirements, and applicable performance considerations for Florida’s climate. For the bathroom partitions, we discussed panel substrate material options, partition height, door configuration, hardware grade, and colour. Market Sourcing and Factory Selection

Bathroom partition manufacturers are primarily in Zhejiang and Guangdong. Cabinet and storage unit manufacturers are clustered in Foshan, Guangdong — one of China’s largest furniture manufacturing regions. Mirror manufacturers are concentrated in Shahe, Hebei, a major flat glass processing hub.

For this project, FBM Sourcing shortlisted two to three candidate factories per category, evaluated their export track records and production certifications, and requested production samples against the client’s specification brief. Samples that did not meet requirements were rejected before the client was involved. Only factories whose samples cleared our assessment were invited to submit pricing. The factory selected for each category was the one whose samples best matched the specification and whose production quality gave us confidence in a smooth bulk run.

Order Confirmation and Production Scheduling

After the client approved samples and confirmed pricing across all four product lines, FBM Sourcing issued purchase orders to each factory and requested detailed production schedules. Coordinating production timelines across four factories — each with different lead times — is one of the most underappreciated challenges in multi-category China procurement. The goal is to have all goods ready within a similar window so they can be consolidated into a single container shipment, reducing freight costs and giving the client a single delivery event to plan around.

Throughout the production period, FBM Sourcing maintained weekly contact with each factory, tracking progress against the agreed schedule and flagging any risk of delay early. For this Florida elementary school project, all four categories completed production within the agreed window and were ready for QC inspection on schedule.

Production Follow-Up and Quality Checks

Pre-shipment quality inspection is the most critical control point in any China building materials sourcing engagement. After goods are loaded and shipped, recovering from quality failures is expensive and time-consuming. The only reliable way to protect against quality failures is to inspect goods at the factory, before the container is sealed.

For bathroom partitions: panel surface uniformity, edge finishing, hardware alignment, and structural rigidity. For storage cabinets: joint quality, surface finish consistency, door and drawer operation, and dimensional accuracy. For mirrors: glass clarity, chip-free edges, backing integrity, and absence of distortion. All inspection findings were documented with on-site photographs before shipping approval was granted.

Container Loading and Shipping

Following successful QC clearance at all four factories, goods were transported to a consolidation warehouse near Guangzhou port. FBM Sourcing coordinated the loading sequence to maximise container space efficiency while protecting fragile items — mirrors and glass panels required cushioning and careful placement. Export documentation was prepared for each product category, including commercial invoices, packing lists, and certificates of origin.

The consolidated goods were booked as a full-container-load (FCL) sea freight shipment to the client’s Florida port of entry. FBM Sourcing provided regular transit updates and coordinated with the client’s customs broker in advance of arrival to ensure efficient clearance and handover to the site logistics team.
